Facebook Lead Forms

Overview

Facebook Lead Forms integration allows you to automatically capture leads from your Facebook Lead Ads directly into brayv.ai. When someone submits a Facebook Lead Ad, they're instantly added as a contact (or their existing record is updated) and can be enrolled in a journey for immediate follow-up.

This integration is essential for businesses running Facebook Lead Ad campaigns who want instant, automated follow-up with their leads.

Prerequisites

Before setting up Facebook Lead Forms:

  1. Facebook Business Account - You need a Facebook Business account
  2. Facebook Page - Leads come through a Facebook Page you manage
  3. Facebook Lead Ad Campaign - Active lead ad campaigns with lead forms
  4. brayv.ai Facebook Integration - Your account must be connected to Facebook

Note: If you haven't connected Facebook to your brayv.ai account, you'll be prompted to authenticate when creating your first Facebook lead form source.

Connecting Facebook Lead Forms

Step 1: Authenticate with Facebook

First Time Setup:

  1. Go to Settings > Integrations
  2. Click "Continue with Facebook"
  3. Log in to Facebook and grant permissions
  4. Select the Facebook Page that has your lead forms
  5. Also select your ad account, intagram page, etc.
  6. It may seem counter-intuitive, but Facebook Lead forms are associated with Pages, not Ad Accounts

Permissions Required:

  • Access to your Pages
  • Access to Lead Ads
  • Read lead form data
  • Connect with an Account that has admin rights to all needed permissions (your page, your ad account, etc)

Step 2: Select a Lead Form

In the "Add New Source" section of the Lead Sources page, click "Facebook Lead Form"

After authentication, you'll see a list of available lead forms from your Facebook Page:

For Each Form:

  • Form Name (from Facebook)
  • Number of fields
  • Status (already mapped or available)

Select a Form:

  1. Find the form you want to connect
  2. Click "Map This Form" or "Connect"

Note: You can only map each Facebook form once. If a form is already mapped, it will show which brayv.ai lead source it's connected to.

Step 3: Map Fields

You'll be taken to the field mapping page where you can map Facebook form fields to brayv.ai contact fields.

Understanding Facebook Field Mapping

Source Field - The field from your Facebook Lead Form

Target Field - The brayv.ai contact field it maps to

Auto-Mapping: brayv.ai automatically attempts to map common fields:

  • full_name → full_name
  • first_name → first_name
  • last_name → last_name
  • email → email
  • phone_number → phone
  • zip_code → zip_code
  • city → city
  • state → state

Configuring Field Mappings

Step 1: Review Auto-Mapped Fields

Check that automatically mapped fields are correct.

Step 2: Map Remaining Fields

For each Facebook form field:

  1. Select the corresponding brayv.ai contact field from dropdown
  2. Choose from:
    • Standard contact fields
    • Your custom fields
  3. Or leave unmapped if you don't need that data

Step 3: Save Mappings

Click "Save Mappings" to activate the integration.

Available Target Fields

Standard Fields:

  • first_name, last_name, full_name
  • email, phone
  • business_name, website
  • street_address, city, state, zip_code, country
  • And all other standard contact fields

Custom Fields: Any custom fields you've created in Settings > Custom Fields

Journey Enrollment Rules

Control which leads get added to which journeys based on their Facebook form responses.

Basic Enrollment:

Add All to Journey:

  1. Go to the "Journey" tab
  2. Enable "Add to Journey"
  3. Select a journey
  4. All Facebook leads from this form go to that journey

Conditional Enrollment (Rules):

Route leads to different journeys based on their form responses.

Example Use Case: If your Facebook form asks "What service are you interested in?", route HVAC leads to HVAC Journey and Plumbing leads to Plumbing Journey.

To Set Up Rules:

  1. Click "Add Rule"
  2. Select which form field to evaluate
  3. Choose condition (equals, contains, etc.)
  4. Enter value to match
  5. Select journey to enroll in
  6. Set rule order

Rule Configuration:

  • Field - Which Facebook form field to check
  • Condition - equals, not_equals, contains, starts_with, ends_with
  • Value - Value to match
  • Journey - Journey to enroll contact in
  • Order - First matching rule wins

Multiple Rules:

  • First matching rule is applied
  • Ensure you have a default journey selected (leads that dont match a rule will go here)
  • Drag to reorder rules

Contact Field Settings

Configure default values for contact fields from Facebook leads.

Friendly Source

  • Human-readable description of lead source
  • Used by AI in conversations
  • Example: "our Facebook ad about HVAC services", "our Facebook ad"
  • Highly Recommended - Helps AI personalize conversations

Hook Mode

Don't Set Hook - Leave hook blank (only if you dont plan to add to journey)

Static Text - Same hook for all leads from this form

  • Example: "HVAC services", "pool installation quote"
  • Use when form is specific to one service/product

From Field - Pull hook from a form field

  • Select which Facebook form field contains the hook, and what brayv.ai field you have mapped that to
  • Recommended if form asks about service interest
  • Example: If form has "Service Interested In", use the brayv.ai field you mapped that to

Notification Settings

Get notified when Facebook leads come in.

Enable Notifications

  • Toggle to turn on
  • Select team members to notify
  • Choose channels (Email, In-App)

Useful For:

  • Instant awareness of new Facebook leads
  • Quick response to hot leads

Facebook Lead Form History

View all leads received from Facebook.

Access: Lead source details page > History tab

What You See:

  • Timestamp of each lead
  • Contact name and info
  • Which Facebook form they came from
  • Processing status (success/failure)
  • Any error messages

Use For:

  • Monitoring lead volume
  • Verifying leads are flowing correctly
  • Debugging field mapping issues
  • Tracking campaign performance

How Facebook Lead Forms Work

Integration Flow

  1. User submits Facebook Lead Ad form
  2. Facebook sends lead data to brayv.ai via webhook
  3. Field mappings are applied
  4. Contact matching by phone number
  5. Contact created or updated
  6. Friendly source and hook applied
  7. Journey enrollment rules evaluated
  8. Contact added to journey (if applicable)
  9. Notifications sent (if enabled)
  10. AI agent begins engagement (if in journey)

Contact Matching

If phone number matches existing contact:

  • Contact is updated with Facebook lead data
  • Email becomes additional email (if different)
  • Fields are updated with new values
  • No duplicate created

If phone number doesn't match:

  • New contact is created
  • All mapped fields are saved
  • UTM parameters and Facebook metadata saved

Note: Matching is by phone number only. Emails are not used for matching.

Lead Response Time

Real-Time Processing:

  • Leads are processed within seconds of Facebook submission
  • If enrolled in journey, AI agent can respond within 60 seconds
  • Gives you a significant advantage over competitors

  • Set up journey enrollment

Help AI agents reference the source:

  • "Facebook ad about kitchen remodeling"
  • "Facebook lead form - HVAC services"
  • "Facebook pool installation ad"

Why: AI can say "I see you reached out through our Facebook ad about {hook}"

Map Hook from Form Field

If your Facebook form asks what they're interested in:

  • Map that field in brayv.ai
  • Set hook mode to "From Field"
  • AI gets exact context for personalization

Use Conditional Journey Rules

If one form captures different lead types:

  • Set up conditional rules
  • Route to appropriate journeys
  • Ensure right AI agent handles each type

Monitor Lead Quality

Check Facebook lead form history regularly:

  • Watch for spam or fake submissions
  • Monitor field mapping accuracy
  • Track conversion rates by form

Keep Forms Simple

On the Facebook side:

  • Minimize required fields (name, phone, service interest)
  • More fields = lower conversion
  • AI can ask follow-up questions
  • If you are getting too many low interest submissions, create a new form that asks for more from the contact

  1. Create a test lead submission on Facebook
  2. Verify it appears in brayv.ai correctly
  3. Check field mappings are accurate
  4. Confirm journey enrollment works
  5. Test AI agent engagement

Managing Multiple Facebook Forms

Separate Forms for Different Services

Strategy:

  • Create specific lead forms for each service
  • Map each form to its own brayv.ai lead source
  • Route each to appropriate journey

Example:

  • "HVAC Services" form → HVAC Journey
  • "Plumbing Services" form → Plumbing Journey
  • "General Inquiry" form → General Services Journey

Facebook Lead Ad Best Practices

Form Design (Facebook Side)

Essential Fields Only:

  • Name (first and last or full name)
  • Phone number (required for brayv.ai)
  • Email (recommended)
  • Service interest or qualifier question

Optional Fields:

  • Address (if service-based business)
  • Timeline/urgency
  • Additional context

Ad Creative Tips

Align with Follow-Up:

  • Mention text follow-up in ad creative
  • Set expectations: "We'll text you within minutes"
  • Match ad messaging to AI agent's tone

Example: "Fill out this quick form and we'll text you right away!"

Compliance

Required Disclosures:

  • Include SMS opt-in language in form
  • Example: "By submitting, you agree to receive text messages from [Business] with service information and updates. Reply STOP to opt out."

Privacy:

  • Link to privacy policy
  • Follow Facebook's lead ad policies
  • Include opt-out instructions

Troubleshooting

Problem: Leads not showing up in brayv.ai

Solution:

  • Verify Facebook integration is still connected
  • Re-authenticate if needed (Settings > Integrations)
  • Check that lead form is mapped
  • Submit a test lead on Facebook
  • Check lead source history for errors
  • Verify Facebook webhook is active

Problem: Field mappings not working correctly

Solution:

  • Review field mappings in brayv.ai
  • Submit a test lead and check what data comes through
  • Remap fields if Facebook form changed
  • Save mappings again
  • Check for field name changes on Facebook side

Problem: Leads not being added to journey

Solution:

  • Verify journey enrollment is enabled
  • Check journey rules are configured correctly
  • Ensure journey exists and is active
  • Review rule conditions
  • Check that matching field has data
  • Submit test lead to debug

Problem: Missing phone numbers

Solution:

  • Verify phone number is required field on Facebook form
  • Check that phone_number field is mapped to phone
  • Ensure Facebook form collects valid phone numbers
  • Review form submissions for phone data
  • Note: Phone is critical for contact matching

Problem: Duplicate contacts being created

Solution:

  • Verify phone number field is mapped
  • Check that phone numbers in Facebook form are consistent format
  • Review contact matching rules
  • Facebook may format phone numbers differently - system handles this

Problem: Facebook connection expired

Solution:

  • Go to Settings > Integrations
  • Re-authenticate with Facebook
  • Grant required permissions again
  • Check that Facebook Page access is still active
  • Contact support if reconnection fails

Problem: Lead form no longer appears in list

Solution:

  • Form may have been deleted or archived on Facebook
  • Create a new form on Facebook
  • Map the new form in brayv.ai
  • Update ad campaigns to use new form
