Account Setup Prerequisites

Overview

Before you can start using brayv.ai's automation features, you need to complete some essential setup steps. These prerequisites ensure your account is properly configured for AI agents, text messaging, phone calls, and appointment booking.

Business Settings

Step 1: Configure Business Information

Go to Settings > Business

Required Fields:

Business Name

  • Your DBA (Doing Business As) name
  • Example: "ABC Plumbers"

Legal Business Name

  • Your official registered business name
  • Example: "ABC Plumbing, LLC"

Business Phone

  • Your main business phone number

Business Email

  • Your primary business email address

Business Website (Optional)

  • Your company website URL

EIN

  • Your Employer Identification Number

Step 2: Business Address

Fill in all business address fields:

  • Street Address
  • City
  • State
  • ZIP Code

Important: This address must match what is associated with your legal business name (not necessarily the same as your office address, though usually the same).

Why This Matters:

  • Required for A2P (Application-to-Person) texting approval
  • Used for compliance and regulatory requirements
  • Important for voice call vetting

Step 3: Company Context

Fill in the "Company Context" field with a description of your business.

Option 1: Generate with AI (Recommended)

  1. Enter your website URL in the URL field below Company Context
  2. Click "Generate with AI"
  3. AI will analyze your website and write context automatically
  4. Review and edit as needed

Note: If you have site blockers that prevent AI from accessing your website, you'll need to enter the context manually.

Option 2: Write Manually

Write a 20-30 second description including:

  • What your business does
  • What areas you service
  • What services you offer
  • What you take pride in (family-owned, years in business, excellent service, etc.)

Example:

Stellar Pools is a family-owned pool construction company proudly serving 
the greater Austin, Texas area. With decades of craftsmanship passed down 
through generations, we blend timeless values with modern design to transform 
backyards into dream oases. From standard accessible designs to full-custom 
pools, our team is known for integrity, attention to detail, and personalized 
service. At Stellar Pools, we treat every project like it's our own pool—
delivering quality, beauty, and comfort families can enjoy for years to come.

Why This Matters: AI agents use this context throughout the system as their baseline understanding of your company. It helps them answer questions accurately and represent your brand properly.

Team Setup

Step 4: Add Team Members

Go to Settings > Team

Click "Add Team Member"

Who Should You Add:

Required:

  • Anyone that brayv.ai will be booking appointments for (sales team members, technicians, specialists, etc.)

Recommended:

  • Any admin or staff who will oversee the system
  • Anyone who will manually interact with leads/customers
  • Team members who need access to conversations, contacts, or reports

For Each Team Member:

  • First Name
  • Last Name
  • Email
  • Phone Number
  • Role/Permissions

Roles

  • Admin, Permissions: Full Access
  • Staff, Permissions: Full Feature Access, but cannot change business or billing settings
  • Agent, Permissions: Limited feature access — contacts (only the ones they "own"), conversations (only the ones they "own"), appointments (only their own), Settings > "Myself" (personal setting page for configuring availabilty rules, and connecting outlook or google calendar)

Phone Number Setup

Step 5: Purchase Primary Phone Number

Go to Settings > Phone

For Text Messaging:

  1. Enter your area code in the search field
  2. Click Search
  3. Choose a number from the results
  4. Click "Purchase"

Note: The first number you purchase will be your primary number, used for texting and for manually calling out from brayv.ai.

Step 6: Configure Inbound Call Routing

After purchase:

  1. Refresh the page
  2. You'll see the number marked as your primary number
  3. Click the gear icon to access phone number settings

Select Where Inbound Calls Ring:

Ring in App

  • Calls only ring in brayv.ai
  • Team members answer within the platform

Ring in App Then Transfer

  • Rings in brayv.ai for designated number of seconds
  • If no one answers, forwards call to number of your choice
  • Good for backup routing

Transfer Directly

  • Call never rings in brayv.ai
  • Goes directly to the number you choose (e.g., your office number)
  • Good if you want to keep existing phone workflows
  • Can transfer directly to a Voice AI agent phone number

Step 7: Purchase Voice AI Number (If Using Voice Agents)

If you plan to use Voice AI agents:

  1. Enter your area code
  2. Select phone number of choice
  3. Click "Purchase"
  4. After success message, click "Configure for Voice AI"
  5. After success message, you'll see "Available for Voice AI" on the number

Note: Voice AI requires a separate phone number from your primary SMS number. Configure a number for voice agents, and set up a voice agent before routing any calls to that number.

Email Notifications Setup

Step 8: Configure Email Settings

Go to Settings > Email

Reply-to Email

  • Email address where replies to notification emails should go
  • Example: [email protected]

Email Sender Name

  • How your business appears in email notifications
  • Typically your business name
  • Example: "Sparkling Smiles Dentistry"

Setup: Click "Setup Email Notifications" button to complete configuration.

A2P Approval (Required for Texting)

After completing all prerequisites above, you'll need to wait for A2P (Application-to-Person) approval before you can send text messages.

What is A2P Approval?

A2P approval is an external regulatory review that approves businesses for texting customers. It's required by phone carriers to prevent spam.

Timeline

Typical Processing: 2-4 days

(Can sometimes stretch into multiple weeks depending on the TCRs current processing times)

Contact support to find out current processing times.

Important Notes

  • Our support team will help you through the process
  • We don't control how long it takes (handled by external regulatory agency - TCR and DCAs that work with them)
  • You must complete all account setup prerequisites to get approved
  • Business address and EIN must match your legal business name registration

While You Wait

You can still:

  • Set up calendars
  • Create journeys
  • Configure AI agents
  • Add team members
  • Add knowledge base content
  • Configure lead sources

You cannot yet:

  • Send text messages
  • Use AI text agents with live contacts
  • Send SMS notifications

Go to AI Agents > Knowledge Base and add FAQs your customers may ask that you want your agents to know the answer to.

Verification Checklist

Before proceeding to full setup, verify you've completed:

  • ✅ Business name and legal name configured
  • ✅ Business phone, email, website entered
  • ✅ EIN provided
  • ✅ Business address complete and accurate
  • ✅ Company context written (describes your business)
  • ✅ At least one team member added
  • ✅ Primary phone number purchased
  • ✅ Inbound call routing configured
  • ✅ Voice AI number purchased (if using voice agents)
  • ✅ Email reply-to and sender name configured
  • ✅ Email notifications set up
  • ✅ A2P approval requested (waiting for approval)

Next Steps

Once prerequisites are complete, proceed to:

Troubleshooting

Problem: Can't purchase phone number

Solution:

  • Verify billing information is configured
  • Try different area code
  • Contact support if no numbers available

Problem: A2P approval taking longer than expected

Solution:

  • Verify all business information is accurate and matches legal registration
  • Contact support for status update
  • Ensure EIN and address are correct

Problem: Email notifications not working

Solution:

  • Verify reply-to email is valid
  • Check that email notifications are enabled
  • Test with a sample notification
  • Check spam folder
