Smart-Cals Booking, Reschedule & Cancel Links
Quick Reference Keywords: smart-cals · booking link · reschedule link · cancel link · calendar subdomain
Overview
smart-cals.com is the domain of brayv.ai's propreitary calendar system. brayv can send contacts branded links to book, reschedule, or cancel appointments on your calendar widgets. Those links use your account’s Calendar Subdomain (yourbusiness.smart-cals.com). If you do not select a branded subdomain, booking links will instead be from hub.brayv.ai.
Claim Your Calendar Subdomain
Path: Settings → Business → Account Defaults → Calendar Subdomain
- Enter a slug (3–18 characters: lowercase letters, numbers, hyphens), e.g.
yourbusiness - Click Claim
- Your domain becomes
{slug}.smart-cals.com
Important: Claiming is permanent in-product. Contact support if you need to change it after claim.
Until a subdomain is claimed, branded smart-cals links cannot be generated for your account.
Link Types Contacts Receive
| Purpose | Typical URL pattern |
|---|---|
| Book (widget link that allows anyone to book a new appointment) | {slug}.smart-cals.com/book/[token] |
| Cancel | {slug}.smart-cals.com/cancel/[token] |
| Reschedule (change) | {slug}.smart-cals.com/change/[token] |
Cancellation and Reschedule links appear in appointment confirmation messages (text & email) by default. They are included in the calendar default "Notes". You can remove/add either/both by editing the notes. Appointments & Calendars > Calendar Settings > click on specific calendar > Notes > change as desired > Save
The direct widget link is never sent to contacts by default (AI text agents do booking conversationally), but can be sent manually when needed and are great for things like email campaigns that have a booking call-to-action, or embedding in your website.
What Contacts See
Book
- Loads your calendar widget
- Contact confirms date/time and required fields (e.g. Street Address, City, Zip)
- Confirm Appointment completes the booking
Cancel
- Cancel Appointment page
- Optional Reason for cancellation
- Confirm → Appointment Cancelled
Reschedule
- Reschedule Appointment flow with available slots
- Confirm Reschedule → Appointment Rescheduled!
Widget Configuration
Customer-facing fields, customer facing title and description, and branding colors are configured per calendar under Appointments → Calendar Settings → [calendar] → Widget. See Calendars and Appointments and Travel-Aware Scheduling if travel rules apply. You can also get the direct booking link here, and an embed code so you can place it directly on your website.
Troubleshooting
- Links fail or look generic → confirm subdomain is claimed under Settings → Business
- Contact cannot cancel/reschedule → check the calendar’s notification templates include the correct link variables
- Booking fails for CRM-synced calendars → contact still needs address fields required by ServiceTitan/HouseCall Pro. Make sure, if calendar syncs to ServiceTitan/HouseCall Pro, that it's corresponding widget has the Street Address, City, and Zip Code fields, and that they are marked as required
Tips
- Make your widgets even more branded in Settings > Business by adding your logo into your account. It will show up on all your calendar widgets once set.
- Do not (and instruct your team members not to) use the customer facing cancellation links when you need to cancel an appointment. Instead, cancel the appointment within your account by clicking on the appointment, and changing the status to cancelled. This will keep your appointment history auditable - so you know who cancelled the appointment. "Cancelled by Joe Smith" = logged in team member cancelled; "Cancelled by public calendar widget" = your customer cancelled the appointment.
- Your calendar name is internal. Your calendar's widget name is public-facing and completely independent and can be set to whatever you'd like. By default, the widget name is "{calendar name} booking widget". Change it to whatever makes sense for your customers to see.
