Overview
Connect JobTread at Settings → Integrations → JobTread, map your brayv users to JobTread team members, then turn on sync per calendar. When an appointment is booked on a synced calendar, brayv:
- Finds the customer in JobTread by matching phone, email, service address and name together (an AI check settles borderline cases; when in doubt brayv creates a new customer rather than attach work to the wrong one), or creates the customer, contact and location.
- Either schedules a task directly on the customer (no job) or creates a job and schedules the task on it, depending on the calendar's settings.
- Assigns the task to the mapped JobTread team member so it appears on their JobTread schedule.
- Keeps the task in sync when the appointment is rescheduled, reassigned or cancelled in brayv.
Changes made in JobTread flow back too: moving or deleting a brayv-created task updates or cancels the brayv appointment, and other JobTread tasks assigned to mapped members appear as blocked slots in brayv so nobody gets double-booked.
Connect
Path: Settings → Integrations → Connect JobTread → Connection tab
Get a grant key
- In JobTread go to Settings → Integrations → API → Grants.
- Click Create Grant.
- Name it Brayv.ai. JobTread records the grant name on every change, so this is how your team can tell which tasks brayv created.
- Copy the key. It is shown only once.
Save the connection
- Paste the key into Grant Key.
- Optional: Test Connection shows the organization, time zone and grant owner before saving.
- Click Connect JobTread.
On connect, brayv verifies the grant, stores your JobTread organization and time zone, detects the custom fields JobTread uses for contact phone and email, and registers a webhook so JobTread can notify brayv about task changes.
Good to know
- Everything brayv creates in JobTread is attributed to the JobTread user who created the grant. Create the grant from an admin or office user rather than a field employee.
- Grant keys expire after 3 months without use. Brayv checks the connection daily to keep it active and shows the expiry date on the Connection tab.
- Verify connection re-checks the grant and re-registers the webhook if it is missing.
- Disconnect JobTread removes the grant key, the webhook, team member mappings and turns off calendar sync. Existing appointments and blocked slots are kept.
Team Members tab
Map each brayv user to a JobTread team member (Not mapped by default). Only appointments booked with a mapped user are pushed to JobTread.
When you map a user, brayv pulls their upcoming JobTread tasks (next 90 days) as blocked slots and re-checks any brayv appointments that lost their owner because that member was unmapped (see below). Sync now repeats that pull for every mapped user. Removing a mapping deletes that user's JobTread blocked slots.
When assignees change in JobTread
For tasks brayv created from an appointment, brayv follows JobTread's assignees the same way it does for ServiceTitan:
- Owner still assigned — nothing changes for the owner. Any other assigned members who are mapped to brayv users get a "Multi-Tech" blocked slot for the same time, so their availability is respected.
- Owner removed, another mapped member assigned — the appointment is reassigned to that member (if several, brayv prefers a member of the appointment's calendar). Their old Google/Outlook event is removed and a new one is created for the new owner; nothing is cancelled.
- Assigned to a member who is not mapped, or unassigned entirely — brayv waits about a minute (JobTread often sends "remove A" and "add B" as two separate changes), then clears the appointment's owner. The previous owner's reminders and external calendar event are removed and their availability is freed. Account admins receive an in-app and email alert naming the unmapped member with a link to the Team Members tab. Mapping that member assigns the appointment automatically; alternatively, reassign it in brayv.
Calendars tab
Shows which calendars push to JobTread and how (task on customer vs create job). Click a calendar to change its settings on the calendar's External CRM tab — see Calendars and Appointments.
Settings tab
- Contact Matching Fields — JobTread stores phone and email as custom fields on customer contacts. Brayv detected them when you connected; only change them if your organization uses different fields.
- Task Naming — Tasks are named after the appointment title. Add an optional prefix (for example
Brayv:) so brayv-created tasks stand out on the JobTread schedule. Job naming is set per calendar on its External CRM tab.
History tab
Every task event JobTread sent to brayv, with what brayv did (created or updated blocked slots, updated or cancelled an appointment, or skipped it). Skipped entries are normal: brayv ignores events caused by its own changes and tasks assigned to unmapped members.
How brayv marks what it creates in JobTread
- A pinned comment Scheduled by Brayv.ai with a link back to the brayv appointment on every task (and job) it creates.
- A Scheduled by Brayv.ai footer in the task description.
- The grant name and a Brayv user agent recorded by JobTread on every change.
- The optional task name prefix.
Checklist before booking sync works
- JobTread connected and the Connection tab shows a green status.
- The user the appointment is booked with is mapped to a JobTread team member.
- Sync appointments to JobTread is on for that calendar (External CRM tab).
- The contact has a phone number or email, and ideally a street address and zip (all used to find the JobTread customer).
- For Create job mode, the contact should have a street address so the job's location is meaningful. Without one, brayv creates a placeholder location.
Troubleshooting
Appointment did not appear in JobTread
- Confirm the calendar has JobTread sync on and the booked user is mapped.
- Open the appointment in brayv: a Synced to JobTread panel with the Task ID means the push succeeded.
- Reassigning or rescheduling the appointment retries the push if it failed the first time.
- Check the Connection tab: a red status means the grant was rejected. Verify or reconnect.
Wrong customer matched, or a duplicate was created
Brayv scores every candidate on phone, email, service address and name together and only attaches to an existing customer when the evidence is strong; borderline cases are reviewed by an AI check and, when still unsure, brayv creates a new customer on purpose (a duplicate is easier to merge than a job filed under the wrong customer). To improve matching:
- Make sure the phone and email custom fields on the Settings tab point at the fields your JobTread contacts actually use.
- Keep the contact's street address and zip in brayv; the address is the strongest signal when a phone number is shared (offices, landlords) or has changed.
- A spouse or co-worker who shares a phone and address is matched to the same customer account and added as a new contact under it, rather than overwriting the existing contact.
Tasks moved in JobTread are not updating brayv
- The Connection tab must show Webhook: Registered. Click Verify connection to re-register it.
- Only tasks assigned to mapped team members are mirrored into brayv.
